Description

The job is 214 day calendar days__the calendar for 2023-2024 is through June 10th.  For the 2024-2025 school year, the working calendar is July 29-June 12.  

 

Pay is two times monthly (15th and 30th/31st). This position qualifies for competetive district-paid health care benefits and retirement contributions.

 

Purpose

The job of Assistant Principal Secretary is done for the purpose/s of providing administrative and secretarial support to assigned school site administrators; monitoring assigned activities; and providing information, recommendations and/or direction as requested.

        

This job reports to Principal and Assistant Princpals

 

Essential Functions

  • Collects payments for a variety of events for the purpose of completing transactions and/or securing funds.
  • Compiles data from a variety of sources (e.g. work orders, disciplinary action, specialized reports, personnel records, student records, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Coordinates a variety of projects, functions and/or program components (e.g. meetings and facilities, student lockers, communications to staff and parents, student parking stickers, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
  • Maintains manual and electronic documents, files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Monitors students referred to the Central Office for illness or disciplinary action for the purpose of ensuring their safety and welfare and maintaining a secure office environment.
  • Monitors a variety of activities on behalf of assigned administrator (e.g. calendar schedule, staff communication, building budget summary report, staff and student files, etc.) for the purpose of achieving goals and meeting target dates.
  • Participates in a variety of building meetings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
  • Prepares a variety of documents for the purpose of communicating information and/or creating documentation in compliance with established guidelines.
  • Presents information on administrative procedures (e.g. department/program policies, submission procedures, etc.) for the purpose of orienting new personnel and/or disseminating information to existing personnel.
  • Processes documents and materials (e.g. time sheets, work orders, requisitions, travel reimbursements, budget transfers, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements.
  • Responds to a variety of inquiries for the purpose of identifying the relevant issues and recommending or implementing a plan of action that will efficiently resolve the issue including emergency repairs.

Other Functions

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the facilities department.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand complex, multi- step written and oral instructions.  Specific knowledge based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; district policies and procedures; and concepts of grammar and punctuation.

    

ABILITY is required to schedule activities and/or meetings; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data; and utilize job- related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling,  some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing.  The job is performed under conditions with some exposure to risk of injury and/or illness.

    

Experience:  Job related experience with increasing levels of responsibility is desired.

    

Education:  High school diploma or equivalent.
